IT Disaster Recovery FAQ's

  • What is the difference between a backup and a disaster recovery plan?

A backup is a copy of your data, kept somewhere safe. A disaster recovery plan is the documented process for getting your business operating again after a major IT failure, and the systems, tools and ownership that make that process work. A backup without a recovery plan tells you nothing about how long the restore will take, who will do it, or which systems come back first. Both are needed — most businesses have one and assume they have the other.

  • How quickly should our business be able to recover from a major IT failure?

This is measured by two numbers agreed for each system. Recovery Time Objective (RTO) — how long the system can be down before the impact becomes serious. Recovery Point Objective (RPO) — how much data the business can afford to lose, measured in time. For most SMEs, email, accounting and core operational systems need an RTO of under four hours and an RPO of under thirty minutes. Less critical systems can tolerate longer windows. We define these with you rather than guess them.

  • We already back up to OneDrive. Is that enough?

OneDrive synchronises files between devices and the cloud, which is useful, but it is not a full backup of your Microsoft 365 environment. Mailboxes, SharePoint sites, Teams content, OneDrive deletions and ransomware-encrypted files are not always recoverable from Microsoft’s native retention. We recommend a dedicated Microsoft 365 backup product (such as Acronis) on top of OneDrive, so a deleted item, a malicious change or a compromised account is recoverable to a point in time.

  • What scenarios does disaster recovery actually cover?

Four scenarios cover almost every real-world disaster. Hardware failure — a server, a switch, a storage array. Accidental deletion or corruption — a member of staff overwrites a critical file, or a database becomes corrupted. Malicious action — ransomware, a disgruntled departure, an external breach. Site loss — fire, flood, theft. A good plan covers all four with different controls — backups for the first two, immutable backups and EDR for the third, geographic separation for the fourth.

  • How often should backups be tested?

At least quarterly for a typical SME, monthly for organisations with stricter recovery objectives. Untested backups are the most common reason recovery fails when it matters — backups that have been silently corrupted, missing critical systems, or take far longer to restore than anyone expected. Our managed backup service includes scheduled test restores with a written report, so the recoverability is verified rather than assumed.

  • What does a disaster recovery service typically cost?

A managed backup service for a typical SME with one to two servers and twenty to fifty Microsoft 365 users sits in a low three-figure monthly range. A full disaster recovery service — with stand-by infrastructure, automated failover and tested recovery procedures — sits higher, scaled against your RTO and RPO targets. The cost should be set against the cost of a few days of downtime, which for most SMEs is significantly larger. We will model that with you before recommending a tier.
