When should we bring in an IT consultant rather than doing it in-house?

Three situations usually justify external consultancy. The first is when the work falls outside the day-to-day skill set of your existing team — a cloud migration, a new ERP, a Cyber Essentials Plus certification. The second is when the work is time-bound and would distract your internal team from the day job for too long. The third is when an independent view is genuinely useful — for example, when the business is choosing between vendors and needs an opinion that does not start with a quota. What does an IT consultancy engagement actually look like?

Most consultancy engagements run in four stages. Discovery — understanding the business problem, the constraints, the current environment. Options paper — two or three credible approaches with cost, risk and time implications for each. Recommendation and plan — once a path is chosen, a detailed plan with milestones, owners and acceptance criteria. Delivery — either we project-manage delivery, or we hand the plan to your team and remain available for review points. Engagements are scoped against the deliverable, not by the hour.

We have an internal IT team. Will a consultant just step on their toes?

Not when the engagement is set up properly. The most effective consulting work happens alongside an internal team, not over the top of them — they own the context and the relationships; we bring the specialist depth and the bandwidth for a specific project. We agree at the start who owns what, where the consultant’s authority starts and ends, and how knowledge transfers back into the internal team so the work outlives the engagement.

We are planning an office move. Do we need consultancy or just installation?

Both, in sequence. An office move involves more than running cables — it involves connectivity planning, phone porting, hardware moves, server relocations, Wi-Fi design, security, access control, the cutover plan and a fallback plan. The installation can be quoted on its own once those decisions are made. We typically deliver a short, fixed-fee planning piece up front and then quote the installation against the agreed plan, so the budget is clear and the move itself is uneventful.

How is consultancy charged?

Consultancy is charged either as a fixed fee for a defined deliverable, or as a day rate for an open-ended engagement with a written scope. Fixed-fee is preferred where the work has a clear shape — a migration, a strategy paper, a vendor selection — because it removes time-and-materials risk for the client. Day rate is appropriate when the work is genuinely exploratory. We agree the model in writing before any work starts, and we do not bill for time spent quoting.

What deliverables can we expect from a consultancy project?

Every engagement ends with documented outputs you keep. For a strategy piece, that is a written report with options, recommendations and a roadmap. For an implementation project, it is a project closure pack with as-built documentation, runbooks, account credentials, decision logs and a hand-over to whoever will operate the system afterwards. Verbal advice on its own is not a consultancy deliverable — if you cannot read it months later, the engagement has not finished properly.
